Types of Records That May Be Microfilmed

State agencies adopt microfilm for a variety of reasons. Conversion of records to microfilm format may improve the economy and efficiency of agency operations.

The Records Management Division does not film records that have a retention time of less than 50 years. This is due to the high cost of creating a microfilm image. The division has found that it costs less to keep a box of paper stored in the State Records Center for 49 years or less than it does to film that same box.

The Records Management Division does not currently offer imaging services. If an agency would like to implement an imaging system, they can contact their analyst for a consultation.
